Approving a promotion request

Promotion Requests let retailers ask publishers directly for a discount on specific products, right within VaultN.

Instead of emailing or messaging a publisher to negotiate a promotion, retailers can submit a request, and publishers can review and approve it, suggest edits, or decline it. Once both sides agree, the request automatically turns into a live promotion. This keeps the whole back-and-forth in one place and gives both sides a clear record of what was requested and agreed to.

Note: Promotion Requests is an evolving feature. This is an early iteration, and we plan to expand it over time with additional functionality to make requesting and managing promotions even easier.


Promotion Requests statuses

You will receive in-app notifications on every status change throughout the process.

  • DRAFT - Promotion request started but not submitted to the publisher (Not applicable to publisher)
  • PENDING PUBLISHER APPROVAL - Promotion request submitted to the publisher but pending approval
  • PENDING RETAILER APPROVAL - Promotion request reviewed and edited by the publisher but pending retailer approval
  • DECLINED / CANCELED - Promotion request declined by publisher or canceled by retailer
  • APPROVED - Promotion request accepted by publisher and retailer, and is now final

Note: Every approved request stays linked to the promotion it creates. Once a request is approved and turns into a live promotion, the system keeps a record connecting the two. This lets you trace a promotion back to the original request later, which is useful for tracking results and for audit history.


Approving a promotion request: Step by Step

  1. Receive the submitted promotion request from the retailer. You’ll see a notification with a number on the Promotion Requests tab. All new requests appear with a status of PENDING PUBLISHER APPROVAL.

  2. Review the request details.

    Publisher can accept or submit changes

  3. Take one of three actions: approve, decline, or request an edit.

    a) If declined: request ends as DECLINED BY PUBLISHER (terminal state).

    b) If you want to request edits: modify request details (e.g., discount, duration) and send them back to the retailer for review (click “Submit Changes”). After that action, the promotion request will appear with the status of PENDING RETAILER APPROVAL.

    c) Review the retailer's response to a publisher edit: approve, decline, or request further edits, looping until resolved.

    d) To approve, click “Accept Request”.

  4. Once APPROVED: the promotion is automatically scheduled, and a new entry is created in the Promotions tab, linked to the original request. On the Promotion Requests tab, it shows APPROVED status.

  5. Manage the live promotion going forward. The publisher is the only party who can edit (products, SKUs, discounts, start/end dates) or cancel a scheduled/live promotion (retailer cannot).
