Understanding the Order View
The Order View in VaultN provides publishers and retailers with a clear and detailed overview of all transactions. It allows you to track individual sales, returns, fulfilment statuses, and access order details for deeper analysis.
1. Order List
When navigating to Distribution › Orders, you will see an overview of all order events. Each row represents a single transaction, showing:
- Order Event = Type of order (e.g. Sale or Return).
- Date – The exact timestamp of the order.
- Order ID – The unique identifier for the transaction.
- Client Order Reference – A retailer-provided reference for easier tracking.
- Connection Name – The sales channel or retailer through which the order was processed.
- Product ID & Product Name – Identifiers for the purchased game or item.
- Order Status – Indicates whether the order is Completed or Cancelled.
- Fulfilment Status – Tracks whether the order has been Fulfilled or Not fulfilled.
This view enables retailers and publishers to quickly filter, search, and monitor sales activity at scale.

2. Order Details
Clicking on an order entry opens the Order Details page, where you can analyse the transaction in depth:
- Connection – The retailer or distributor handling the order.
- Order ID & References – Unique identifiers and customer references for reconciliation.
- Sales Country – The market where the order originated.
- Gross & Net Sales Price – Breakdown of sales value before and after deductions.
- Sales & Invoice Currency – Displays the sales currency (e.g. GBP) and invoice currency (e.g. EUR) with the exchange rate applied.
- Product Details – Product ID, name, edition, and quantity purchased.
- Pricing & Region – Unit pricing, sales region, and distribution terms.
- Key / Activation URL – Delivery details for digital fulfilment.
- Fulfilment Status – Tracks whether the digital product has been delivered or is pending.
Additionally, the Order Event History section provides a timestampt of the order.

3. Retailer Order Management
Retailers have the ability to cancel orders, provided this is covered within their commercial agreement with the publisher. Cancellations are reflected in the Order View with the status Cancelled and are tracked in the Order Event History.
This ensures full transparency between publisher and retailer, enabling both parties to:
- Resolve refund or cancellation requests efficiently.
- Maintain compliance with agreed business rules.
- Keep accurate sales and fulfilment records.

- Analyse sales trends and performance at the transaction level.

- Manage cancellations transparently under agreed conditions.

Tip for Retailers: Use the search and filter options in the Order List to quickly locate specific orders by product, date, or customer reference. This speeds up both customer support and financial auditing processes.
